Overview We are seeking a highly organized and proactive Office Manager to oversee daily operations within our dynamic office environment. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a comprehensive background in office management, including administrative tasks, vendor relations, and team supervision. This role offers an opportunity to contribute to the efficiency and success of our organization by managing various administrative functions and supporting staff development. Duties • Coordinate and oversee daily office operations to ensure smooth workflow and productivity • Manage calendar scheduling, appointment setting, and event planning for internal and external events • Supervise administrative staff, including front desk personnel, clerical team, and support staff • Handle vendor management, including negotiating contracts and maintaining supplier relationships • Oversee bookkeeping, payroll processing, budgeting, and financial recordkeeping using QuickBooks or similar software • Maintain accurate filing systems, records management, and document control • Manage multi-line phone systems, front desk operations, and phone etiquette to ensure professional communication standards • Assist with human resources functions such as onboarding, training & development, and employee relations • Support medical office management tasks if applicable, including compliance with healthcare regulations • Implement process improvements to enhance office efficiency and team productivity Experience • Proven experience in office management or administrative leadership roles with a strong background in clerical and organizational tasks • Supervising experience with team management responsibilities preferred • Proficiency in QuickBooks and familiarity with bookkeeping, payroll, budgeting, and financial reporting • Experience in event planning and vendor management is highly desirable • Strong communication skills with the ability to handle phone etiquette professionally across multi-line phone systems • Demonstrated organizational skills with attention to detail in calendar management, filing systems, and administrative procedures • Ability to manage multiple priorities efficiently while maintaining a positive attitude and professional demeanor This position is integral to maintaining an efficient office environment that supports organizational goals.
