POSITION DESCRIPTION Position Title: Executive Support Manager Location: Remote Reports To: Chief Executive Officer Installation Made Easy (“IME”) provides software and process management that enable retailers and contractors to offer installed home improvements to homeowners in a convenient, consistent, and affordable manner. IME senior management has over 100 years of retail management and home improvement industry experience. The Executive Support Manager position will provide high-level administrative support to our Chief Executive Officer and other executive staff members. This role will be exposed to a wide variety of areas of the business and external contacts and will play a key role in driving company growth and supporting overall revenue objectives. An ideal candidate for this role will be resourceful, innovative, and proactive to support their executive leadership. They need to have good communication skills, sharing information with executive leadership efficiently and effectively. The candidate must be able to work independently in a remote environment. Essential Functions: • Provide day-to-day administrative and logistical support to the executive(s) under the direction of senior staff. • Learn the executive’s priorities, working style, and key stakeholders; proactively flag conflicts or gaps. • Maintain a helpful, solutions-oriented approach and escalate questions or issues when needed. • Support calendar management by scheduling meetings, confirming details, and tracking changes across time zones. • Help prioritize incoming meeting requests using provided guidelines; route exceptions to a manager or the executive. • Serve as a courteous first point of contact for stakeholders; respond promptly and direct inquiries appropriately. • Handle sensitive information with discretion and follow confidentiality expectations. • Serve as a liaison between the executive and internal/external stakeholders; maintain strong relationships at all levels. • Provide coordination support for team projects (tracking tasks, updating timelines, organizing documents). • Keep simple trackers updated (commitments, deadlines, meeting notes, open items). • Assist with planning team rhythms such as staff meetings, check-ins, and small offsite logistics. • Arrange travel and accommodations following established policies; prepare itineraries and backup options. • Process expenses, invoices, and reimbursements accurately and on schedule. • Organize digital files, folders, and contact lists to ensure easy access and version control. • Support event logistics (room bookings, catering, materials, guest coordination). • Practice good judgment about what to handle independently vs. what to escalate. • Stay calm and adaptable in a fast-paced environment with shifting priorities. • Pull basic reports or status updates from existing systems when requested. • Maintain accuracy and attention to detail in all data, schedules, and communications. • Perform other related duties as assigned. Minimum Qualifications: • Excellent verbal and written communication skills. • Excellent organizational skills and attention to detail. • Excellent time management skills with a proven ability to meet deadlines. • Ability to function well in a high-paced and at times stressful environment. • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. • Able to type minimum of 50 words per minute. • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software. Physical Requirements: • Prolonged periods of sitting at a desk and working on a computer. • Must be able to lift 15 pounds at times.
