JOB DESCRIPTION Job Description Benefits: • Paid time off Job Title: Office Assistant Overview: As an office assistant at our tax accounting firm, you will play a vital role in ensuring the smooth operation of organizing and prepping tax returns and daily administrative tasks. Your responsibilities will include providing support to our team of tax professionals and the Office Manager; scanning and filing tax documents, maintaining office efficiencies; heavy phone volume; and assisting clients with their inquiries. Responsibilities: Data Management: Organize and maintain physical and digital files, records, and databases. Scanning and digital filing of tax documents. Ensure the confidentiality and security of sensitive client information. Administrative Support: Assist in organizing and managing office operations, including maintaining office supplies, equipment, and facilities. Manage incoming and outgoing correspondence, emails, and phone calls. Schedule appointments and meetings for tax professionals. Client Interaction: Interacts with clients and visitors in person, over the phone and via email and provides them with general information about our services. Assist clients with inquiries, appointments, and document submissions. Ensure a high level of customer service and professionalism in all client interactions. Financial Support: Assist with basic accounting tasks such as invoicing, billing, and processing payments. Team Collaboration: Collaborate with CPAs, the Office Manager and other office staff to ensure efficient workflow and communication. Assist with special projects and tasks as assigned by management. Qualifications: • Associate degree required. College Degree in Accounting or Business preferred. • Previous experience in an administrative role, preferably in a tax/accounting environment. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic accounting software. • Strong detail skills with attention to accuracy and organization. • Excellent communication and interpersonal skills. • Ability to prioritize tasks, multitask, and work independently or as part of a team. • Must be able to work overtime during tax season
