Overview We are seeking a dynamic and organized Construction Receptionist to serve as the welcoming face of our construction office. This vital role involves managing front desk operations, coordinating communications, and providing exceptional customer service to clients, vendors, and team members. Duties • Greet visitors, clients, and vendors professionally and promptly, ensuring a positive first impression • Answer multi-line phone systems efficiently, directing calls accurately and courteously • Manage front desk responsibilities including mail distribution, package handling, and visitor sign-in procedures • Maintain organized filing systems for project documents, contracts, and administrative records • Support office management tasks such as calendar management, appointment scheduling, and data entry using Microsoft Office and Google Workspace tools • Assist with bookkeeping tasks using QuickBooks for invoicing and expense tracking • Provide general administrative support including proofreading documents, managing office supplies, and supporting project coordinators with clerical duties Requirements • Proven office management or administrative experience in a construction or related environment • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications • Experience with multi-line phone systems and excellent phone etiquette skills • Bilingual abilities are highly desirable to communicate effectively with diverse clients and vendors • Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively • Familiarity with clerical tasks such as filing, data entry, proofreading, and calendar management • Customer service experience demonstrating professionalism and a positive attitude in face-to-face or phone interactions • Knowledge of office software including QuickBooks for bookkeeping purposes is a plus • Personal assistant or medical/dental receptionist experience is advantageous but not required Join us as a Construction Receptionist to be an essential part of our team!
