Operations Manager – Flex Paper Trading DEPARTMENT: Operations – Flex Paper Trading REPORTS TO: General Manager Flex Paper Trading FLSA: Exempt REVISED: November 2025 Objective The Operations Manager ensures that Flex Paper Trading runs efficiently, accurately, and profitably. This position leads all administrative, logistics, and systems functions that support the trading team, ensuring seamless execution from order placement to cash settlement. The role focuses on process discipline, system accuracy, vendor coordination, and cross-training to enable traders to concentrate on market-facing activities and growth. Essential Functions 1. Operational Execution & Oversight • Lead all day-to-day operational activities across order entry, purchasing, logistics, billing, and documentation. • Manage and maintain cieTrade as the system of record for all transactions — ensure data accuracy, required fields, and timely updates. • Verify order accuracy, pricing, freight, and warehouse allocation before invoicing. • Coordinate shipment scheduling, freight rates, and warehouse movements with internal and external partners. • Ensure all supporting documentation (invoices, bills of lading, credits/debits) is complete, accurate, and properly recorded. 2. Team Leadership and Development • Supervise and coach the administrative and operations team • Establish clear performance expectations and accountability for accuracy, timeliness, and customer service. • Foster a coaching culture focused on learning from errors and improving process consistency. • Conduct weekly team check-ins and daily huddles to align workload and address issues proactively. • Cross-train team members to ensure coverage during absences and workload surges. • Partner with Human Resources to recruit and onboard members of your team 3. Systems and Process Improvement • Serve as the cieTrade process owner — champion data discipline, training, and system optimization. • Partner with IT and shared services to enhance reporting, automation, and integrations with finance and inventory systems. • Standardize workflow documentation, including freight-rate entries, credit/debit notes, and process maps. • Lead continuous-improvement projects to reduce errors, increase speed, and improve data visibility for traders and management. 4. KPI Management and Reporting • Develop and report weekly metrics, including order accuracy, margin-verification turnaround time, cieTrade compliance rate, data completeness, and shipment/billing cycle time. • Provide transparency and proactive issue alerts to management and traders. • Create and manage department budget, utilizing Zero-Based Budgeting (ZBB) and cost control through accurate operational data and expense tracking. 5. Vendor, Warehouse, and Freight Coordination • Maintain excellent relationships with Flex’s warehouse partners, freight brokers, and third-party vendors. • Ensure warehouse charges, freight rates, and vendor invoices are correctly applied to each order. • Support credit-insurance and vendor-payment compliance by ensuring documentation accuracy and payment timeliness. • Liaise with Fleenor Paper Company’s shared-services teams (Finance, HR, IT) to coordinate operational support and leverage group efficiencies. 6. Compliance and Risk Management • Ensure adherence to all safety, legal, trade, and documentation regulations. • Maintain traceable transaction documentation for audit readiness. • Support the General Manager and CEO in ensuring operational processes meet company standards for accuracy and ethics. Reporting Relationship Reports to the General Manager of Flex Works closely with Flex Traders, the Finance Team, and the Shared Services team. Minimum Qualifications • 5 + years of experience in operations, logistics, or trading administration. • Strong understanding of order-to-cash workflows, freight coordination, and vendor management. • Demonstrated ability to build organizational structures, implement process controls, and manage teams. • Proficiency in ERP or trading platforms (cieTrade experience strongly preferred). • Excellent attention to detail and problem-solving skills. • Clear written and verbal communication skills • The ability to work with people at all levels of the organization, both internal and external Preferred Qualifications • Bachelor’s degree in Business, Supply Chain, or related field. • Experience in paper, packaging, or trading environments. • Background in export operations, Letters of Credit, and international documentation. • Experience implementing ERP or workflow systems. • Bilingual English/Spanish is an advantage. Performance Indicators • 98 % + order accuracy rate. • < 24-hour margin-verification turnaround. • 100 % cietrade compliance on required data fields. • Zero unverified transactions by week’s end. • Reduction in trader administrative workload by at least 50 %. Physical Environment/Working Conditions This role is office-based with travel to warehouses, mills, and logistics partners as needed. While in operations and shipping environments, employee must use eye and hearing protection and exercise caution around equipment and forklifts. This position requires working standard business hours, with occasional need for additional hours to address time-sensitive shipping or documentation needs.
