Overview We are seeking an Executive Administrative Assistant to join our team in support of fiduciaries serving as trustees, conservators, or powers of attorney! This role is vital in ensuring smooth office operations, providing exceptional customer support, and maintaining efficient administrative workflows. Duties • Operate multi-line phone systems, directing calls accurately and courteously • Perform data entry and maintain organized filing systems to ensure quick access to information • Utilize Microsoft Office Suite tools for document creation, editing, and collaboration • Handle calendar management, scheduling appointments, meetings, and reminders efficiently • Provide exceptional customer service support via phone, email, or in person, ensuring client satisfaction • Assist with bookkeeping tasks using QuickBooks or similar accounting software • Support office management activities including supply ordering, inventory tracking, and general administrative tasks • Proofread documents for accuracy and clarity before distribution • Maintain professionalism through proper phone etiquette and effective communication skills Requirements • Proven experience in an office environment with clerical or administrative responsibilities • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) applications • Familiarity with RingCentral phone system a plus. • Paralegal background a plus. • Excellent organizational skills with the ability to multitask effectively in a busy setting • Knowledge of office management procedures including filing systems and calendar coordination • Strong customer service orientation with excellent phone etiquette and interpersonal skills • Ability to handle sensitive information discreetly with high levels of professionalism Join us as an Executive Administrative Assistant where your energy fuels our success!
