The Treatment Coordinator is responsible for coordinating treatment acceptance and post-appointment follow-up, acting as a liaison between patients, POAs, facilities, and clinical teams. This role involves managing communications, scheduling treatments, and ensuring accurate documentation in relevant systems.
Candidates must have previous experience as a Dental Treatment Coordinator, with a strong understanding of dental terminology and treatment planning workflows. A minimum of 2 years in dental operations or patient care coordination is required, along with excellent communication skills and attention to detail.
Position Overview The Treatment Coordinator plays a key role in the patient care journey by ensuring timely coordination and communication for treatment acceptance and post-appointment follow-up. This role serves as the liaison between patients, Power of Attorneys (POAs), facilities, and clinical teams to ensure treatment plans are understood, accepted, and scheduled appropriately. The ideal candidate is organized, proactive, and compassionate—comfortable managing multiple systems, follow-ups, and communications simultaneously. Key Responsibilities Treatment & Post-Appointment Care Coordination Follow up on treatment plans to ensure timely acceptance or next steps. Handle and return calls and emails regarding presented treatment plans, including questions or clarifications from patients, POAs, or facilities. Re-send treatment plans through CareStack as needed for patient review and acceptance. Schedule accepted treatments based on provider availability, zones, and event schedules. Coordinate and send medical clearance requests to appropriate providers or POAs; track receipt and follow up to ensure timely completion. Maintain accurate documentation of all communications and updates in CareStack and Healier. Escalate complex cases or concerns to the appropriate team when necessary. Collaborate cross-departmentally to ensure seamless communication and efficient patient flow Qualifications Required: Previous Dental Treatment Coordinator experience is required — candidates must have hands-on experience presenting treatment plans, coordinating follow-up, and managing patient/POA communication in a dental setting. Strong understanding of dental terminology, treatment codes, and treatment planning workflows. 2+ years of experience in dental operations, patient care coordination, or a similar healthcare administrative role. Proven ability to manage high-volume follow-up, multitask, and meet time-sensitive deadlines. Excellent verbal and written communication skills, with the ability to explain treatment recommendations clearly and professionally. High level of empathy, accuracy, and attention to detail when working with seniors, POAs, and facilities. Proficiency with EHR/Practice Management systems (CareStack experience strongly preferred). Comfortable working remotely and collaborating across multiple departments in a fast-paced environment. Preferred: Experience with mobile healthcare, long-term care, or post-acute environments.
