Full Description

Chief of Staff – Family Office Location: Remote (Preference for candidates based in Austin or Dallas–Fort Worth) Travel: Approximately 1 week per month, primarily to portfolio locations in the Southeastern U.S. Compensation: Competitive base salary + performance-based bonus Family Office Overview Our client is a multi-faceted, Texas-based family office overseeing a diversified portfolio of direct investments, operating companies, real estate holdings, and philanthropic initiatives. The family office plays an active role in: • investment sourcing and evaluation, • board and executive oversight, • strategic planning for operating companies, and • administering and expanding the family’s philanthropic mission. Principals are highly engaged across the portfolio, requiring a Chief of Staff who can bring structure, alignment, and operational discipline to a fast-moving, multi-entity ecosystem. With frequent executive interaction and regular in-person meetings in Texas, this role is best suited for a strategic operator who thrives at the intersection of investment management, corporate operations, and relationship stewardship. Position Overview The Chief of Staff will serve as the strategic right hand to the principals—acting as a strategic advisor, integrator, operator, and execution leader across all dimensions of the family office. This individual will ensure clarity, alignment, and follow-through on priorities across investments, operating companies, personal initiatives, and philanthropic commitments. This role blends high-level strategic thinking with hands-on execution. The Chief of Staff must be comfortable shifting between investor meetings, portfolio review sessions, operating-company issues, executive communication, and project management—often in the same week. Ideal candidates bring experience from family offices, private equity firms, investment management, or complex multi-entity environments, and possess the ability to anticipate needs and drive outcomes with minimal direction. Key Responsibilities Strategic Partnering & Executive Alignment • Serve as a trusted advisor and thought partner to family office principals. • Translate high-level priorities into actionable plans, timelines, and accountability frameworks. • Facilitate executive alignment across investment, operating-company, and philanthropic priorities. • Ensure decisions are followed through with clarity and measurable outcomes. Operational Leadership & Process Design • Build, refine, and oversee operating rhythms (weekly leadership syncs, portfolio reviews, quarterly planning). • Implement systems, processes, and communication structures that enhance efficiency and cross-entity coordination. • Identify bottlenecks, gaps, or misalignment early—and proactively develop solutions. Investment Management & Diligence Support • Support direct investment activities including deal evaluation, diligence coordination, and investment committee preparation. • Collaborate with deal teams, attorneys, bankers, and advisors to streamline transaction workflows. • Assist with ongoing monitoring of portfolio performance, KPIs, and value-creation initiatives. Cross-Entity Integration & Communication • Serve as the organizational “hub,” connecting investment activity, operating companies, philanthropic initiatives, and outside partners. • Standardize reporting frameworks, dashboards, and communication flows across entities. • Ensure principals receive timely and accurate information for decision-making. Stakeholder, Board & External Relationship Management • Prepare materials for board meetings, investment reviews, strategic planning sessions, and principal briefings. • Maintain strong, proactive communication with CEOs, CFOs, investment partners, and philanthropic stakeholders. • Represent the family office in select meetings, calls, and events as needed. Project & Initiative Ownership • Lead high-priority, cross-functional initiatives from concept through execution. • Establish and monitor project plans, deliverables, responsibilities, and timelines. • Create visibility for progress and ensure accountability across teams. Advisor & Problem Solver • Anticipate needs before they arise and help principals stay ahead of emerging issues. • Provide strategic insights, scenario planning, and well-reasoned recommendations. • Serve as a stabilizing force during periods of complexity, transition, or rapid growth. Experience, Skills & Leadership Traits • Experience in a family office, private equity, investment management, or multi-entity operating environment. • Demonstrated ability to drive alignment, manage complexity, and execute across varied stakeholders. • Strong financial acumen with comfort around investment diligence, portfolio performance, and KPI interpretation. • Exceptional communication skills and an ability to influence, synthesize, and manage up. • Highly organized, detail-oriented, and capable of managing multiple time-sensitive priorities. • Calm, resourceful, and professional in fast-paced and ambiguous environments. • Based in Austin or DFW, with comfort traveling ~1 week per month. Compensation & Work Structure • Competitive base salary + performance bonus • Remote-first work environment; candidates must reside in Austin or DFW due to regular in-person principal meetings • Travel approximately one week per month to Southeastern portfolio locations and periodic Texas onsite meetings
