High school diploma, 1-2 years medical office experience, proficiency with EHR and office software, strong communication and organizational skills, with 3 years medical billing/coding and EMR experience required.
We are seeking a reliable, organized medical administrative/receptionist to manage front‑desk operations, support clinicians and staff, and create a welcoming environment for veteran patients. The ideal candidate is compassionate, detail‑oriented, and experienced with medical office procedures and electronic health records. Availability: must be able to work five days per week as need presents — 8:00 a.m. to 5:00 p.m. Key Responsibilities · Greet patients and visitors; provide courteous, professional front-desk service · Answer and route phone calls, respond to basic inquiries, and manage voicemail/email communication and relaying messages clearly between patients, providers, and other departments · Check patients in/out, verify demographics and insurance, collect co-payments, and process payments · Booking, confirming, canceling, and rescheduling patient appointments, managing waitlists as well as coordinating referrals to specialists and scheduling tests · Maintain accurate patient records in the EHR; enter clinical and administrative data as directed · Prepare daily schedules and assist clinicians with patient flow · Mail, fax, and scan documents; maintain organized paper and electronic filing systems · Ensure the waiting and reception areas are clean, safe, and stocked with materials · Adhere to HIPAA and facility policies to protect patient privacy and confidentiality · Entering patient information, billing codes, and other data into the practice's computer system · Verifying patient insurance coverage, understanding co-pays and deductibles, and completing/submitting insurance claims · Handling patient billing inquiries, processing payments, and performing basic bookkeeping tasks · Assigning correct codes (such as ICD-10 and CPT) to diagnoses and procedures for billing purposes · Perform other administrative duties as assigned Required Qualifications High school diploma or equivalent · 1–2 years of medical office or receptionist experience (veteran-focused care or VA experience preferred) · Proficiency with electronic health records and standard office software (MS Office, Google workspace) · Strong verbal and written communication skills; professional phone manner · Excellent organizational skills and attention to detail · Ability to handle sensitive situations with empathy and discretion · Ability to multitask and remain calm under pressure Preferred Qualifications · Medical terminology knowledge · Bilingual skills (Spanish or other) a plus · Familiarity with veteran benefits/VA processes advantageous Working Conditions & Physical Requirements · Office environment; prolonged periods of sitting and computer use · May occasionally lift light supplies (up to 25 lbs.)
