High school diploma, 1+ year vet hospital or customer service experience, strong communication skills, basic math, and ability to handle physical demands.
We have an immediate need for a Client Care Specialist/Front Desk Customer Service rep who loves animals and enjoys working with the public. This team member needs to be dedicated to client service, client education and patient care with a “Take Charge”, “Can Do It” attitude. As a Client Care Specialist, you will play an integral role in the overall client experience, while generating business through understanding the needs of our clients. This position requires someone who is self-motivated and truly enjoys serving the public. Essential Duties • Welcomes clients and patients to the practice and makes them feel comfortable. • Follows established hospital guidelines for communicating with clients in different types of situations, such as general inquiries, scheduling appointments and F/u appointments, routine and nonroutine medical questions, patient emergencies, and prescription refills. • Communicates with clients as needed regarding invoices and the medical status of their pets. • Handles basic questions regarding hospital services, fees, and animal care and treatment in accordance with hospital policies. Appropriately directs other questions and communication to a veterinarian, Practice Manager, or other staff member. • Discerns and addresses any potential client problems, complaints, or questions. • Provides an invoice to clients; itemizes the client’s statement; reviews it orally with the client; and informs the client about hospital policies, such as preoperative instructions, payment and credit policies, and vaccination policies. • Contacts clients to schedule and/or confirms appointments and presurgical instructions • Accurately enters and retrieves records and reports, enters fees, charges. • Accurately processes payments from the client. Requirements • High school diploma or equivalent experience required. • 1 + years of experience in a Vet Hospital, Clinic or ER setting as a receptionist/customer service rep. • Knowledge of Vet office practices and procedures, receptionist/CSR duties. • Excellent communication skills over the phone and facetoface. • Customer Service Focused • Basic math skills. • Must be able to sit, stand and be mobile for up to 10 hours at a time and may require stooping, kneeling, reaching, grabbing, lifting and carrying. • Ability to lift objects weighing 40 pounds without assistance and objects weighing more than 40 pounds with assistance. • Stay on task and work energetically for entire shift, sometimes exceeding 10 hours per day. • Preferred: Knowledge of veterinary medical terminology and procedures, general computer skills and EzyVet Software.
