We are searching for a Client Experience Representative to play a key role in bringing our clients’ events to life. In this role, you will support every stage of the event-planning journey, from initial intake through onsite execution. You will work closely with clients, vendors, and internal teams to ensure details are accurate, timelines stay on track, and every interaction feels personal and thoughtful. This role offers hands-on experience and has a clearly defined career trajectory that allows you to learn and grow within the event planning industry. What You Will Do: • Serve as the primary point of contact for clients throughout the event lifecycle, ensuring that clients’ needs and expectations are understood and executed at each step of the process. • Coordinate event logistics by gathering client requirements for occupancy and event features (meals, presentations, speeches, etc.), confirming vendor availability, and updating internal planning systems with accurate timelines. • Prepare detailed event briefs, agendas, and run of show documents to support internal teams throughout planning and ensure frictionless communication. • Manage client approvals for creative assets, floor plans, menus, and production elements while keeping all stakeholders informed and aligned. • Oversee guest management tasks including RSVPs, registration lists, and special accommodations. • Support onsite event execution by coordinating setup, guiding client walk-throughs, and helping troubleshoot any last-minute issues. • Gather client feedback, identify opportunities to elevate the experience, and present insights to leadership for continuous improvement. Who You Are: • One year of experience in customer service, hospitality, administrative support, or event planning. • Strong organizational skills with the ability to manage time wisely, keeping on top of deadlines and project milestones. • Clear and professional communication skills in email, phone, and client-facing conversations, ensuring positive client experience every time. • Excellent attention to detail when reviewing guest lists, event documents, and vendor communications with ability to point out and correct inaccuracies. • Collaborative mindset and ability to work closely with vendors, internal teams, and clients.
