Responsibilities • Manage front desk duties, including greeting visitors and directing them appropriately with professional phone etiquette • Operate multi-line phone systems to handle inquiries, transfer calls, and take messages efficiently • Maintain accurate data entry using computer skills, including Microsoft Office and Google Workspace applications • Organize and file documents systematically, ensuring easy retrieval and confidentiality • Assist with calendar management, scheduling appointments, meetings, and coordinating personal or professional events • Support office management tasks such as ordering supplies, managing correspondence, and proofreading documents for accuracy • Provide customer support by addressing inquiries promptly and professionally via phone or email • Perform clerical duties including typing, proofreading, data entry, filing, and maintaining office records with precision • Handle bookkeeping responsibilities using QuickBooks or similar accounting software when necessary • Support medical or dental receptionist duties if applicable, including patient check-in/out and appointment scheduling Qualifications • Proven office experience with strong clerical skills and familiarity with office management procedures • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools • Experience with QuickBooks or bookkeeping is a plus • Bilingual abilities are highly desirable to serve diverse clientele effectively • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment • Exceptional phone etiquette with experience managing multi-line phone systems and providing outstanding customer service • Personal assistant or medical/dental receptionist experience is advantageous • Demonstrated time management skills with the ability to handle multiple responsibilities simultaneously • Knowledge of filing systems, proofreading techniques, and calendar management tools Join us in a role where your organizational talents will shine!
