Based in Johnsburg, Illinois, our team of highly trained technicians supported by a dedicated customer service staff provides unparalleled solutions to optimize compressed air systems. With over three decades of hands-on experience and unwavering reliability, we are committed to delivering the best possible service to our clients in the most efficient manner. Small company feeling without the corporate world problems. Role Description We are seeking an Entry-level to Experienced Service/PM Coordinator to support our Service Department. This role is ideal for someone who is organized, detail-oriented, and comfortable working in a fast-paced environment. The Coordinator will assist with billing, daily administrative workflows, and communication between the PM Coordinator, Service Coordinator, Service Manager, and field technicians. Responsibilities include processing service paperwork, ensuring accurate documentation, and helping maintain efficient day-to-day operations. This is a full-time, on-site position, Monday–Friday, from 7:30 AM to 4:30 PM. Key Responsibilities • Answer phones and support the Service Manager to ensure customers receive timely, effective service. • Contact service technicians throughout the day to confirm the status of open work orders. • Communicate and resolve issues on open service tickets efficiently. • Schedule follow-up visits and ensure parts are ordered as needed. • Ensure follow-up work is quoted in a timely manner. • Confirm closed tickets are communicated and that customer sites are fully operational. • Create or assist in creating quotes for Preventative Maintenance for new and existing customers. • Follow up on PM quotes, SMAs, and service quotes. • Pull and order all parts needed for approved work related to SMAs, PMs, or service repairs. • Receive deliveries; operate forklift for larger shipments (training available). • Assist in developing new Service Maintenance Agreements (SMAs). • Ensure parts request forms for follow-up repairs are completed accurately and submitted promptly. • Maintain accurate filing of all service records (electronic and physical). • Follow all ISO quality procedures. • Perform additional duties as assigned. Objectives • Maintain Compressor Services’ commitment to quality and performance. • Keep all electronic and paper files organized, accurate, and up to date. Skills & Personal Attributes • Understanding of service dispatch dynamics (or willingness to learn). • Strong verbal and written communication skills. • Professional conflict resolution skills with tact and diplomacy. • Self-motivated, reliable, and able to work with minimal supervision. • Consistently punctual with strong attendance and reliability. Education & Requirements • High School Diploma or equivalent required. • Above-average proficiency with Microsoft Excel, Outlook, PowerPoint, and Word. • Ability to commute to McHenry, IL (required). • Ability to relocate to McHenry, IL before starting (required). Job Type: Full-time Hourly Rate - 16$-24$ based on experience. • Reviews on 3 months, 6 months and Annual on first year.
