Business Development / Marketing Administrative Assistant Help our BD team spend more time with referral partners--and less time on the busywork. We're looking for a proactive, detail-driven Business Development/Marketing Administrative Assistant who thrives on getting things done, staying organized, and bringing fresh, simple ideas that help us stand out with our referral partners (plumbing, HVAC, GC). This role blends administrative rigor with in-person support--you'll manage calendars, inventory, and follow-ups, and you'll be out in the field helping set up breakfasts, lunches, drop-bys, and partner events. This is a hands-on, operational support role for business development. What you'll do • Keep the BD engine moving: manage calendars, confirmations, route planning, follow-ups, and referral fee logistics. • Own event logistics: order and stage food/swag for office breakfasts/lunches; set up/tear down onsite; ensure everything looks sharp and professional. • Maintain marketing inventory: track and restock swag, print materials, leave-behinds, and event kits so reps never run out. • Be creatively resourceful: bring simple, memorable touchpoints (e.g., tie-ins to "National [X] Day," seasonal themes) to keep partners engaged. • Tighten the admin loop: update CRM with visits, referral status, tasks; compile weekly activity & KPI snapshots for leadership. • Support field visits: accompany BD reps on key visits when extra hands or polish are needed; represent CWFR with friendly, professional presence. • Research & prep: identify new prospect offices, gatekeepers, and contact paths; assemble clean lists with addresses, best times, and notes. Must-haves • 1-3+ years in an administrative, events, sales support, or field marketing role (home services, restoration, trades, or medical/dental reps a plus). • Proven event/logistics coordination (ordering, setup, vendor coordination, on-site execution). • Organizational rigor: you love checklists, can juggle moving parts, and close loops without being chased. • Strong communicator (clear email/phone etiquette; confident face-to-face with office staff, techs, and owners). • Tech-savvy with CRM hygiene and Microsoft 365 (Outlook, Excel, PowerPoint); quick to learn our systems. • Driver's license, reliable vehicle, and ability to travel locally across Greater Cleveland for visits and events. • Able to lift/carry event materials (up to ~30-40 lbs) and handle early-morning setups when needed. Nice-to-haves • Experience supporting outside sales/BD teams calling on referral partners. • Familiarity with CRM platforms (HubSpot/Salesforce/etc.). • Light design skills for flyers/handouts (Canva) and basic email campaign tools. • Recent marketing/communications grads with real event/admin experience are encouraged to apply. How you'll be measured • Event readiness & execution (on time, professional, well-stocked). • CRM accuracy & follow-through (no loose ends; timely updates). • Partner engagement (creative touchpoints, helpful presence, responsiveness). • Team enablement (BD reps spending more time with partners and less time on admin).
