Position Overview The Administrative Assistant will provide essential administrative and client support to ensure the smooth operation of our practice. This role is ideal for someone who is organized, dependable, and comfortable working both independently and collaboratively. The position starts at 15 hours per week with potential to grow as the practice expands. Key Responsibilities • Manage incoming calls, emails, and client inquiries with professionalism and empathy • Schedule and confirm appointments for clinicians • Assist with intake processes, including gathering documentation and verifying insurance • Maintain accurate records and update client information in the practice management system • Support billing workflows (e.g., submitting claims, reviewing payments, assisting with client billing questions) • Provide general office support such as scanning, filing, and organizing documents • Prepare materials or communications for the team as needed • Assist with special projects related to marketing, systems, or practice growth • Ensure a welcoming, organized environment for clients when in the office Qualifications • Prior administrative or customer service experience required; mental health or healthcare setting preferred or majoring in mental health in undergrad program • Strong organizational skills and exceptional attention to detail • Excellent communication skills (written and verbal) • Comfort with technology; experience with EHR/practice management software is a plus • Ability to maintain strict confidentiality and professionalism • Self-motivated, reliable, and able to work independently • Compassionate, friendly, and able to handle sensitive situations with care • Social media and/or Canva experience is a major plus Schedule & Compensation • Approximately 15 hours per week to start • Hybrid schedule: a combination of in-office hours and remote work • $18-$20 hourly rate based on experience; additional compensation will be offered if interested/experienced in social media management Pay: $18.00 - $20.00 per hour Expected hours: 15.0 – 20.0 per week Work Location: Hybrid remote in Hatboro, PA 19040
