Job Summary: The Receptionist serves as the first point of contact for clients, visitors, and callers. This position is responsible for providing a professional, welcoming atmosphere, managing front desk operations, routing calls, handling mail, and supporting administrative functions to ensure the smooth operation of the law office. Key Responsibilities: • Greet clients and visitors warmly and professionally. • Answer, screen, and route incoming phone calls to appropriate staff. • Monitor voicemail and respond or forward messages as needed. • Manage incoming and outgoing mail, including certified mail and legal courier services. • Schedule appointments and manage calendars for attorneys and paralegals. • Maintain cleanliness and organization of the reception area. • Scan, copy, and file documents as requested. • Assist with data entry, billing, and file opening/closing processes. • Ensure confidentiality of client information at all times. • Support other staff with administrative tasks and projects as needed. Required Qualifications: • High school diploma or equivalent. • Excellent interpersonal and communication skills. • Professional demeanor and appearance. • Strong organizational skills and attention to detail. • Proficient with Microsoft Office and general office technology. • Ability to multitask and prioritize effectively in a fast-paced environment. • Familiarity with legal terms or experience in a law office (preferred but not required).
