Position Summary CetraRuddy is seeking a Business Development & Marketing Coordinator to lead proposal development, support pursuit strategies, business development and marketing coordination for our New York office. This role guides all aspects of the pursuit process and collaborates with firm leadership to create compelling, brand-aligned collateral that reinforce the firm’s unique reputation as an industry leader. As part of the Business Development and Marketing team, this position leads the hands-on development of RFP-compliant proposals, presentations, and competitive materials, ensuring alignment with brand standards and client expectations. They regularly track all stages of pursuits, conduct opportunity research, and contribute to the firm’s client-facing presentations. Operating in a fast-paced environment, the role requires strong project management skills to prioritize effectively, manage timelines, and produce high-quality materials with limited oversight. Reporting Structure This position reports directly to the Marketing Director and collaborates closely with firm leadership based in New York. Job Responsibilities • Partner with business leadership to develop creative, client-focused proposal and pitch strategies. Lead and participate in all stages of the pursuit process—from identifying/qualifying potential clients and projects, managing and driving client relations through RFP/proposal strategy • Lead RFP response planning for project proposals, create timelines, understand/capture the scope of work and manage pursuit meetings to support the process • Plan and prioritize tasks, ensuring all deadlines are met with participants. • Review RFPs to identify & communicate critical requirements, submission formats, deadlines and any specific requirements outlined in the RFP • Conduct research to support strategy and pre-positioning • Plan and prioritize tasks, ensuring all deadlines are met, submission and interview preparation—while managing competing deadlines and allocating resources effectively. • Oversee and contribute to the development, layout, and production of proposals, qualifications packages, presentations, brochures, award submissions, and other collateral; ensuring consistency and quality control. • Manage marketing deadlines, coordinate workload distribution and team resourcing to ensure timely, high-quality deliverables. • Maintain pursuit records, pipeline reports, and CRM data (including go/no-go decisions, prospect tracking, and opportunity updates) in coordination with Principals and business development leaders. • Support organization and maintain master marketing materials, templates, and resources on shared platforms. • Support firmwide brand consistency across all marketing collateral and external communications, including digital platforms, presentations, and advertising.
