Overview We are seeking a highly organized and proactive Administrative Assistant to support our team with a variety of office functions. This role is essential in maintaining efficient office operations, managing schedules, and providing exceptional administrative support for our tax office. The ideal candidate will possess strong communication skills, proficiency in office software, and experience in handling diverse administrative tasks. This position offers an opportunity to work in a dynamic environment where attention to detail and professionalism are highly valued. Responsibilities • Manage and coordinate calendars set up appointments for tax clients • Handle phone etiquette efficiently across multi-line phone systems, screen calls, and direct inquiries appropriately • Perform data entry, filing, shredding photocopying, faxing, typing and mailing. • Assist with bookkeeping tasks using QuickBooks and perform basic bookkeeping duties as needed • Support project coordination efforts by tracking deadlines, preparing materials, and communicating with team members • Manage office supplies inventory and coordinate office management activities to ensure a well-functioning work environment • Provide front desk support including greeting visitors, answering inquiries, and managing incoming correspondence • Utilize office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and • Proven administrative experience or personal assistant experience demonstrating strong organizational skills and office management capabilities • Exceptional communication skills including phone etiquette and customer service experience • Ability to proofread documents meticulously to ensure clarity and professionalism • Experience with event planning, project coordination, calendar management, and filing systems is highly desirable • Knowledge of multi-line phone systems and Microsoft Outlook Calendar for scheduling purposes • Demonstrated computer literacy with the ability to adapt quickly to new software applications This position is ideal for a motivated individual who thrives in an office setting and is eager to contribute to the smooth operation of our organization through exceptional administrative support.
