Job Summary We are seeking a dynamic and highly organized Office Manager for our HVAC business to lead our administrative operations and ensure the smooth functioning of our office environment. This role offers an exciting opportunity to oversee daily office activities, coordinate team efforts, manage vendor relationships, and support a productive workplace culture. The ideal candidate will be proactive, detail-oriented, and possess excellent communication and organizational skills to foster efficiency across all departments. This role will be working with a focus on the service/residential department but will also have some involvement in our construction department as well. Duties • Payroll, HR and onboarding/offboarding employees • Profressionally handling phone calls, customer service as you will be back up dispatching • Accounts Payable and managing cash flow • Technical proficiency working with CRM software, computers, printers, etc • Handle bookkeeping tasks such as invoicing, expense tracking, etc. using CRM and QuickBooks. • Create and Implement operational systems • Maintain accurate filing systems, record keeping Requirements • Minimum of 5 yrs Office Management experience in the trades, HVAC preferred • Proven experience in office management or administrative roles with supervisory responsibilities. • Minimum of 5 yrs in QuickBooks for bookkeeping and payroll software. • Excellent communication skills with professional phone etiquette and customer service orientation. • Assisting with job costing and financial reporting • Exceptional organizational skills with the ability to manage schedules, prioritize tasks, and handle multiple projects simultaneously. • Accounts Payable for all vendors, for both departments. • Ability to create and implement new systems • Demonstrated ability to supervise teams effectively while fostering a collaborative work environment. • Work hours are expected to be 7am-3pm or 8am-4pm • Knowledge of clerical procedures such as filing, data entry, and front desk operations.
