Position: Senior Workplace Coordinator Type: 12 months contract Location: Milpitas, CA (Onsite Monday to Friday) As a Senior Workplace Coordinator, you will play a key role in ensuring the daily operations of the site are seamless. You’ll help manage vendors, space planning, site compliance, new hire setup, and overall workplace experience. This role combines hands-on facilities support with strong organizational and people skills to make sure everything works efficiently behind the scenes. You’ll be the local go-to person for the site—ensuring it is safe, well-maintained, and reflective of our culture. What You Will Be Accountable For: · Oversee daily operations of the Milpitas, CA, ensuring a safe, efficient, and positive work environment. · Serve as the primary liaison with building management, triaging and coordinating resolution of all facility-related issues in partnership with property teams and vendors. · Manage vendor relationships and purchase orders for: 1. HVAC and RO water systems 2. Breakroom and kitchen equipment and supplies 3. Office and facilities supplies 4. Small capital and maintenance projects · Update and manage office space planning, including seating charts and new hire setup. · Maintain site compliance documentation, coordinating with auditors to meet internal standards and external EHS, ADA, and local regulations. · Support and coordinate office moves, event setups, and space reconfigurations. · Monitor and respond promptly to requests received via Slack, Teams, or ticketing systems, keeping requestors informed of progress. · Partner with the Regional Property Manager and security providers to maintain a secure and compliant workplace; help ensure security guards are performing their assigned duties. · Monitor vendor service levels to ensure performance expectations are met and address issues proactively. · Demonstrate financial acumen, including reviewing invoices, tracking budgets, and supporting responses to RFPs. · Lead local onboarding logistics, ensuring new hires have assigned workspaces, equipment, and a welcoming experience. · Supervise onsite day porter services and ensure shared spaces are clean, organized, and stocked. · Manage office shipping and receiving, including tracking of incoming/outgoing materials and IT assets. · Prepare and support conference rooms and café areas for meetings and events, including catering coordination. · Maintain current First Aid and CPR certification and support emergency response readiness. · Perform other duties as assigned, maintaining a proactive and solutions-oriented approach. · Actively promote values through a culture of care, safety, and operational excellence. Required Skills and Experience: · 3–5 years of experience in facilities coordination, office management, or workplace operations. · Strong organization and multitasking abilities with attention to detail. · Excellent communication skills and a customer-focused mindset. · Proficient in Microsoft Office (Excel, Word, PowerPoint) and familiar with workplace systems (ticketing, purchasing, or space planning tools). · Understanding of health, safety, and building operations practices. · Proven ability to work both independently and collaboratively with cross-functional teams. · A positive, proactive, and service-oriented approach to challenges. Nice To Have: · Experience in a technology or R&D environment. · Familiarity with sustainability and energy-efficient facilities practices. · Experience coordinating vendors, events, or special projects.
