Role Purpose We're seeking an Project Support Specialist (PSS) for a temporary-to-permanent opportunity with the assignment estimated to last 6 months. Reporting into the Client Services Center of Excellence, the Project Support Specialist is focused on providing administrative support to customer facing teams, specifically Blanchard Project Managers, and ensuring high quality task execution through Blanchard platform and process expertise, effective communication, customer service, planning, and support. The Project Support Specialist serves a key role in the delivery of Blanchard's projects for clients and requires a keen attention to detail, the ability to organize, prioritize, and manage a multitude of tasks, consistent follow through, and cross-functional collaboration to move work forward to completion. The Project Support Specialist must be able to build trust with internal partners by consistently completing tasks in a timely fashion, with accuracy, and with a high degree of customer satisfaction. Duties Include: • Performs a variety of, high volume project-related tasks in partnership with Project Managers, including but not limited to: • Resource scheduling - On behalf of Project Managers, the PSS will research and schedule trainer resources by utilizing scheduling platform to: run availability searches, adding client training sessions to the system, and provide updates/confirmation to Project Managers. • On behalf of Project Managers the PSS will complete order entry for products and services. Orders are placed in NetSuite. This work includes returns, exchanges, and shipping orders to individuals who may be globally dispersed. Perform basic order/data entry into the computer, checking inventory availability, delivery dates and other pertinent information as requested • Utilizing our project management software, the PSS will complete initial project set up for new clients. This includes initiating the project in NetSuite, selecting appropriate project templates, and adding resources to tasks. • Performs Tech Checks, new Vendor Setup, and various project task support at the request of Project Managers. • Initiates contracting records in Gateway (Blanchard's contracting system) and processes standard form Contracts • Coordinates the launch and summarization of standard Blanchard and customized course evaluations for post-event follow up and provides to Project Manager. • Provides course demos to clients by providing access in our online system, Blanchard Exchange, and completes miscellaneous research and reporting as requested by Project Manager or Client Services Center of Excellence. • Meeting scheduling and support - with direction from a Project Manager, sends meeting placeholders to learning journey participants, schedules client interviews/meetings for Consulting Partners, etc. • Assists in the day-to-day technical and administrative support of the Client Services team • Works with little direction to complete daily tasks assigned by Project Managers and/or Client Services Center of Excellence. • Must be able to build trust with assigned Project Managers by consistently completing tasks on time with a high level of attention to detail. • Communicates effectively with internal teams including Project Management, Learning Services, Sales, various Centers of Excellence and others • Provides high quality internal customer service • Receive calls typically via Microsoft Teams, and emails, responds to questions and requests • Research, track, and solve non-routine problems, interacting with appropriate departments and/or individuals with minimal guidance providing documentation as needed • Tracks completion of tasks when appropriate in Project Management software. • Resolve customer request for adjustments in order and billing inquiries, within established guidelines, with minimal input from supervisor • Coordinate and provide administrative duties for special events and/or projects as needed • Participate in team meetings to share best practices and recommend process and system improvements Who You Are: • Detail-oriented and task driven. • Ability to complete tasks with minimal supervision. • Professional and flexible demeanor. • Excellent customer service and communication. • Resilient and positive in challenging situations. • Ability to manage multiple tasks and requests under tight deadlines. • Efficiently and accurately completes various order-to-cash related tasks to support client delivery and implementation. • Fosters internal partnerships and becomes trusted delivery partner to Project Managers, and client-facing teams. • Thinks and operates with the customer in mind and serves as a client advocate within the Blanchard organization • Strong interpersonal skills with an emphasis on building trust and partnerships. • Flexibility to react and adapt to rapidly changing scenarios. • Driven approach to meet deadlines in line with compliance. • Effective communication including verbal and nonverbal. • Demonstrated experience handling client concerns and issues with tact and diplomacy. Education and Experience: • Associates Degree and a minimum of 3 years of direct customer and project support, or equivalent combination of education and experience • Project, program, or event coordination experience • Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PPT, SharePoint, and Teams) and NetSuite. Salesforce knowledge a plus. Work Environment: Normal office environment to include operating a computer, webcam, and phone. Requires adaptability, quick decision making, ability to interpret data, dependability, good judgment, reading, social skills, stress controls, ability to work independently. 2% travel may be required to attend conferences, meetings, and events.
