Office Manager (In-Office) – Rockvale, TN Full-time | Monday–Friday | 7:30 AM–3:30 PM Black Oak Insulation is looking for a dependable, highly organized Office Manager to keep our office running smoothly and support our field and leadership teams. We value professionalism, reliability, and strong customer service. Our office operates at a fast pace with a tight-knit, efficient team focused on keeping daily operations on track. In this role, you’ll be responsible for day-to-day office management, administrative support, and maintaining a positive, orderly work environment. You will report directly to the Owner and serve as a central point of communication for the company. Key Expectations & Responsibilities: • Maintain consistent punctuality, reliability, and professional conduct. • Handle financial data, customer information, payroll details, and internal documents with strict confidentiality. • Provide fast-paced administrative support to both office and field crews. • Manage Accounts Receivable: call customers to collect payments, process transactions, apply checks, and maintain accurate records. • Manage Accounts Payable: match purchase orders to work tickets, job-cost materials, and ensure clean documentation. • Oversee office operations including scheduling, supplies, vendor relationships, expenses, and admin budgets. • Identify inefficiencies and improve workflows, processes, and systems. • Keep office operations compliant with safety procedures, HR policies, and company standards. • Casual dress environment—shorts and comfortable attire are fine. Must-Have Qualifications: • Experience as an Office Manager or in a similar administrative leadership role. • Strong multitasking and prioritization skills in a fast-paced setting. • Excellent communication skills (verbal and written). • Proficiency with Microsoft Office and comfort using scheduling/project tools. • Experience managing budgets, expenses, and vendor relations. • Self-starter mindset with solid problem-solving ability. • Leadership qualities that drive accountability and a productive culture. • Knowledge of workplace safety, HR compliance, and professional office standards. Preferred (Not Required): • Bachelor’s degree in Business, Management, or a related field.
