Big Tent Commercial Real Estate – Operations Coordinator Role Role Overview: We believe that real estate can change people's lives. The Operations Coordinator (referred to as Director of Operations in the source) will be a critical anchor in supporting one of Nashville’s most successful Commercial Real Estate (CRE) brokers as he builds out a team. This role requires high follow-through energy, great organizational skills, and the ability to juggle multiple endeavors while navigating the ebbs and flows of client requirements. The ideal candidate likes people, enjoys working hard, and is up for tackling a good challenge. While some days will be demanding and fast-paced, the number one question you'll carry is: "How am I uniquely gifted to make Big Tent CRE better fulfill its mission today? Key Responsibilities The Operations Coordinator will manage a diverse set of responsibilities across finance, marketing, deal transactions, and general operations. Marketing & Listings • Assist brokers with the coordination and production of Marketing Brochures/Offering Memorandums. • Manage online listings on platforms like CoStar, Crexi, and Loopnet. • Coordinate external vendors (drone, video, graphic designers) for marketing collateral. • Assist in the mailing of physical marketing pieces. • Ensure the successful execution of specific marketing campaigns, such as client closing gifts and seasonal deliveries (e.g., Christmas gifts). Finance & HR Administration • Organize and track all financial activity using QuickBooks Online. • Manage Accounts Payable, Accounts Receivable, and Bill Pay. • Track and organize receipts. • Process payroll and manage subscription management. • Assemble financial reports/updates and monitor yearly/monthly budgets. • Manage 1099 and W2 documentation for tax purposes. Deal Transaction & Compliance • Manage the deal transaction cycle monitoring. • Handle client invoicing. • Monitor broker licensing. • Track 1099 information for closed deals. • Coordinate with CPAs/tax professionals for FE tax coordinating. • Manage the annual LLC filing for BTCRE, SRP, and Phelps Lake. Operations & Investor Relations • Lead L10 meetings (a structured meeting format). • Oversee file management and manage CRM administration. • Manage vendors (M365, RJ Young, QuickBooks, CRS, etc.) and maintain office supplies. • Organize investor information and assist in creating Investment Memorandums and Investor Rosters for each deal. • Work with the outreach coordinator to organize communication and deliver K1 Reports to investors through the Juniper Square platform. • Miscellaneous & Executive Support • Rental Property Management: Monitor rent roll, manage listing/marketing, help coordinate tours, and gather candidate feedback. • Perform various errands/tasks for the principals (Todd and Kate), including travel planning, document delivery, mail returns, and organizing Christmas cards. Compensation: This part time role (i.e. 20-24 hours a week), five days a week with a hybrid work schedule, and will be paid an annual salary of $30,000.
