Location: Remote within the US. Please note this role cannot currently be performed in the following states: California, New York, and Washington. Hiring Range: This position’s hiring range is anticipated to be $58,656 to $60,700 annually, depending on experience, plus great benefits! Position Summary: The People and Culture Operations Specialist supports a positive and efficient employee experience at Best Friends Animal Society by providing high-level administrative and strategic support to the People & Culture team. This role coordinates key people processes, including pre-boarding, recognition, team-building, and wellbeing initiatives, while maintaining accurate and confidential employee data, surveys, and reporting. The Specialist also manages departmental administration, compliance, and resources to ensure programs run smoothly and consistently. Essential Duties and Responsibilities: Uphold a culture of collaboration, innovation, accountability, trust, inclusivity, and respect by modeling Best Friends Animal Society's Guiding Principles. Provide proactive, high-level administrative and strategic support to the Directors, Senior Directors, and broader People & Culture team to ensure smooth operations, follow-through on priorities, and overall departmental effectiveness. Support and help lead execution of culture-related initiatives, team-building efforts, and wellbeing activities. Help organize and track employee data, surveys, and reporting-overseeing Workday reporting requests and ensuring accuracy, confidentiality, and compliance with internal standards. Coordinate the pre-boarding process for new hires, including verification, onboarding forms, I-9 compliance, and welcome kit distribution. Schedule and support onboarding sessions such as new hire check-ins and Intercultural Development Inventory (IDI) sessions. Assist with department-wide engagement initiatives such as PAWS Week, employee service awards, and survey administration. Maintain key people & culture resources and systems, including the Point Person Directory, Best Friends Connect content, and Fetch platform updates. Prepare and manage departmental administrative and operational needs, including expense reports, invoices, scheduling, and presentation materials. Maintain and organize legal and employee records in accordance with internal policies and compliance requirements; provide administrative support for Employee Relations (ER) initiatives as needed. Other duties as assigned. Skills and Experience: Possession of an associate's degree or higher from an accredited college or university with a major in business administration, human resources, or a field closely related to the position. In lieu of a degree, two years of professional experience in HR, business administration, or a similar role will substitute for the associates degree. 2-3 years of experience working in roles that focused on event, program, or project management/coordination, or a high level of executive administration. Experience in Human Resources, People & Culture, or a related field preferred. Hands-on experience supporting pre-boarding and onboarding, including form completion, cohort coordination, and check-in facilitation a plus. Familiarity with employee engagement tools and surveys is a plus. Demonstrated success supporting executive or senior leadership preferred. Must have strong proficiency in MS Office skills including Outlook, Teams (including hosting meetings and calls), Excel, Word and PowerPoint. Proficiency with Workday or similar HRIS platforms is also preferred. Proven ability to manage confidential and sensitive information with the highest level of professionalism and discretion. Strong administrative and organizational skills with exceptional attention to detail. Excellent communication and interpersonal skills; able to build trust and rapport across all levels of the organization. Self-starter, ability to manage multiple complex tasks and projects with competing priorities. Strong judgment, adaptability, and a proactive mindset in a fast-paced, dynamic environment. Physical Requirements: Ability to work at a computer and/or on the phone for extended periods of time with repetitive typing, and arm, and hand motion.
