Job Description: We are looking for a Receptionist/Customer Service Representative to provide front desk and customer service support This position will be responsible for managing the visitors, incoming and outgoing mail, office equipment maintenance schedules and handling incoming calls. Key Responsibilities: • Greet and welcome visitors, direct them to the appropriate person or office, and provide information or assistance. • Answer and direct phone calls, take messages, and handle incoming and outgoing correspondence, including mail, faxes, and emails. • Schedule appointments, manage calendars, and assist with other clerical tasks like filing, copying, and data entry. • Maintain the reception area, order and organize office supplies, and ensure the front desk is tidy and welcoming. • Assist with general office work: scanning/filing invoices, naming scanned files, assisting in the preparation of regularly scheduled reports, email, correspondence memos, letters and faxes. • Customer service representative for AiPing Pharmaceutical, such as answering customer service calls and emails, inputting sales orders and communication with the team. • Troubleshoot problems, process orders, returns, and exchanges, and follow up with customers to ensure satisfaction. • Maintain accurate and detailed records of customer interactions, transactions, and accounts. • Escalate complex issues to the appropriate departments or managers when necessary. • Work with other team members and departments to ensure consistent service and find solutions. • Stay up-to-date on product knowledge, company policies, and adapt to new technologies and processes. Requirements: • High School diploma or equivalent preferred· 1 year experience as Receptionist or Customer Service preferred • Strong verbal and written communication and the ability to handle inquiries professionally. • Multitasking, time management, and attention to detail are crucial for managing various tasks efficiently. • Proficiency in common office software, such as Microsoft Office Suite, is often required.
