Part-Time Bookkeeper + Financial Operations Support (REMOTE/ Occasional on site) We are seeking a confidential, detail-oriented part-time bookkeeper who can handle day-to-day financial operations, support QuickBooks + Housecall Pro integrations, and coordinate directly with our CPA for quarterly reporting and year-end requirements. This role is ideal for someone who loves routine, is highly organized, communicates professionally, can take occasional phone calls for financial or sync-related questions, works independently, and maintains strict confidentiality. Responsibilities Bookkeeping & Accounting: • Manage QuickBooks Online for two related businesses • Reconcile bank, credit card, merchant, and loan accounts • Enter deposits and maintain clean ledgers • Categorize expenses and ensure accurate job costing • Generate monthly P&Ls, balance sheets, and financial snapshots Bill Pay: • Process AP & AR weekly • Pay vendor bills (Bill.com or bank) • Track upcoming payables and keep financial records organized Housecall Pro Integration: • Monitor and troubleshoot daily sync with QuickBooks • Verify invoices, payments, and deposits sync correctly • Resolve mismatch and push issues CPA Coordination & Quarterly Support: • Provide quarterly financial reports requested by CPA • Prepare supporting documents for tax estimates and filings • Communicate with CPA regarding adjustments, depreciation, and year-end entries • Coordinate workflow for annual tax prep and required documents Financial Support: • Be available by phone for bookkeeping/finance questions • Communicate calmly and clearly with ownership • Suggest improvements for financial workflow when needed Hours & Availability • 15- 20 hours per week • Flexible schedule • Ability to take occasional daytime phone calls • Must meet all reporting deadlines (monthly + quarterly) Confidentiality Because this position handles sensitive company financials, strict confidentiality is mandatory. The bookkeeper will be the ONLY person (besides ownership and CPA) with full visibility into both companies’ financial structures.
