Apex Skin is a rapidly growing dermatology practice that empowers employees to deliver exceptional patient experiences. We are currently seeking talented candidates for the role of Medical Receptionist. The Medical Receptionist is responsible for administrative and front-desk tasks, including maintaining patient records, scheduling appointments, and supporting daily clinic operations. Ideal candidates are well-organized, detail-oriented, and demonstrate strong communication, problem-solving, and teamwork skills. Essential Functions • Answer incoming calls with a polite, consistent manner using proper telephone etiquette. • Provided excellent customer service to patients, maintaining a friendly and professional demeanor. • Schedule appointments efficiently via phone, email, or in person to optimize provider time and patient satisfaction. • Maintain accurate patient accounts by obtaining, recording, and updating personal and financial information. • Verify and record insurance coverage; collect and process patient payments and third-party claims. • Maintain confidentiality of all patient information and comply with HIPAA regulations. • Support Medical Assistants by handling patient calls and messages. • Keep reception and waiting areas clean, organized, and welcoming. • Monitor and maintain office supply inventory and equipment. • Scrub daily schedules, manage waitlists, and follow up on patient no-shows or cancellations. • Balance and reconcile collected funds at the end of each day. • Utilize EMR (eClinicalWorks), Microsoft Word, Excel, and other tracking or reporting tools accurately. Qualifications & Experience Required: • Strong communication and customer service skills. • Proven ability to multitask and prioritize effectively in a busy clinical setting. • High attention to detail, accuracy, and organizational skills. • Proficiency with computers, scheduling systems, and word processing software. • Knowledge of medical terminology and basic insurance verification processes. • Professional demeanor with focus on quality, teamwork, and patient experience. Preferred: • Bachelor’s degree or associate degree in a relevant field. • 2+ years of experience as a Medical Receptionist (experience in dermatology preferred). • Certified or Registered Medical Receptionist credential (or working toward certification). • Experience using EMR systems such as eClinicalWorks (ECW). Physical Requirements & Working Enviroment • Prolonged periods of sitting at a desk and working on a computer. • Ability to lift up to 15 pounds occasionally (e.g., files, office supplies). • Frequent standing, walking, bending, and reaching during daily tasks. • Manual dexterity and visual acuity required for computer and phone use. • Fast-paced clinical office environment with frequent patient interaction. • Regular exposure to a professional medical setting, including collaboration with physicians, MAs, and clinical staff. • Standard office hours, Monday through Friday; occasional Saturday mornings as needed. • Consistent adherence to Apex Skin’s policies, procedures, and commitment to exceptional patient care.
