About the Role We are seeking a highly organized, proactive Personal Assistant / Executive Administrator to directly support our CEO. This is a fast-paced, hands-on role for someone who thrives on taking initiative, managing multiple responsibilities, and operating independently without the need for constant direction. You will manage the CEO’s schedule, communication, priorities, and daily needs, while also providing administrative and operational support across the business. The ideal candidate is reliable, detail-oriented, resourceful, and comfortable owning their responsibilities from start to finish. Key Responsibilities Executive Support • Manage the CEO’s calendar, appointments, deadlines, reminders, and time blocks. • Anticipate needs and complete tasks proactively, often before being asked. • Organize and manage daily, weekly, and monthly priorities. • Oversee inboxes, communication, messaging, and follow-ups on behalf of the CEO. • Prepare meeting notes, agendas, documents, and post-meeting summaries. • Coordinate internal and external meetings, travel arrangements, and communications. • Handle personal tasks including scheduling, orders, appointments, and general support. Administrative & Operational Responsibilities • Perform administrative tasks such as invoicing, payments, tracking, and job documentation. • Maintain digital organization including files, records, and task management systems. • Manage office supplies and office cleaning coordination. • Run small operational projects and collaborate with team members as needed. • Support overall business operations by keeping processes and documentation up to date. Qualifications • Bilingual in English and Hebrew (mandatory). • 2–5 years of administrative or executive assistant experience. • Excellent organizational, time-management, and multitasking skills. • Strong written and verbal communication abilities. • Highly proactive, trustworthy, detail-oriented, and reliable. • Comfortable managing both business and personal responsibilities. • Strong computer skills, including calendar management and digital organization. • Experience using CRM or project management tools (e.g., ClickUp, Asana).
