Job Summary We are seeking a detail-oriented and organized Bookkeeper/Administrative Assistant to manage our financial records and support day-to-day operations. This role combines bookkeeping responsibilities with general administrative tasks to ensure smooth business functionality, particularly in our fast-paced logistics and moving environment. The ideal candidate is organized, proactive, reliable, and capable of handling multiple priorities. This is a full-time, in-office position based in Newark, NJ. • **PLEASE NOTE: EXPERIENCED OFFICE MANAGERS ARE INVITED TO APPLY*** Bookkeeping Duties: • Maintain accurate financial records, including accounts payable/receivable, bank reconciliations, and general ledger entries for logistics and moving operations. • Prepare and process invoices, payments, and expense reports related to transportation costs, vendor services, and project billing. • Manage payroll processing and ensure compliance with tax regulations, including those relevant to transportation and labor. • Generate monthly financial reports, budgets, and forecasts using accounting software. • Assist with year-end preparations, audits, and tax filings in collaboration with external accountants. • Monitor cash flow and identify opportunities for cost savings in operational expenses, such as fuel, equipment, and supply chain costs. Administrative Duties: • Handle daily correspondence, including emails, phone calls, and scheduling appointments or meetings with clients, vendors, and team members. • Organize and maintain digital and physical filing systems for documents, contracts, shipping records, and operational logs. • Support commercial moving projects by preparing documentation, tracking timelines, and liaising with stakeholders like clients and subcontractors. • Manage office supplies, vendor relationships, and basic HR tasks such as onboarding new hires. • Perform data entry and reporting using CRM or logistics-specific software. Qualifications and Skills • Proven experience in bookkeeping (2+ years preferred) with proficiency in accounting software like QuickBooks Online or similar. • Strong administrative background, ideally in logistics, transportation, moving services, or a professional services environment. • Excellent organizational skills with keen attention to detail and the ability to multitask in a deadline-driven setting. • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with logistics or project management tools. • Knowledge of basic accounting principles, GAAP, and industry-specific financial regulations (e.g., transportation compliance) is a plus. • High school diploma required; associate's or bachelor's degree in accounting, business administration, or related field preferred. • Strong communication skills, both written and verbal, with a customer-service orientation. • Ability to maintain confidentiality and handle sensitive financial and client information.
